Ground rules

Governance Public Contributors – LEAP (Meeting) Ground Rules:

The ARC TV sits within the Department of Psychiatry at Oxford University.  The ethos of the group is underpinned by ARC TV values:

  • The LEAP meetings and the work of its members is confidential and should not be discussed with people outside of the organisation unless agreed.
  • During meetings and activities members of the group are expected to consider how their behaviour might impact others including:
    • During meetings only one person to speak at a time and don’t interrupt the person speaking.
    • During online meetings mute yourself when not speaking and either use the raise hand function or raise your actual hand if you want to speak.
    • Where possible keep phones on mute and excuse yourself if you need to take a call or attend to something else during a meeting.
    • Be aware that covering your mouth while speaking might make it difficult for someone to read your lips or hear what you say.
  • Group members should always:
    • Respect and value that everyone is different and will think differently about things.
    • Use plain and simple English, avoiding jargon and abbreviations.
    • If you don’t understand something (or someone) ask for it to be repeated or explained.

It is the responsibility of members to:

  • Respond to requests, attend meetings on a regular basis and to actively participate in meetings. 
  • Be prepared by reading papers in advance of the meeting and letting us know if you will be late or can’t attend.
  • Let a co-chair or the Public Involvement Manger/Co-ordinator know if there is anything you would like added to the agenda either before the meeting or at the start of the meeting.
  • Declare any conflicts of interest.
  • Raise issues of concern with the Public Involvement Manager/Co-ordinator or a co-chair of the group.

It is the responsibility of ARC staff and the co-chairs (where appropriate) to:

  • Arrange and facilitate meetings.
  • Produce papers and documents in a timely manner.
  • Respond to requests from group members.
  • Support, where possible, members to take part in meetings and activities.
  • To start and end meetings on time.
  • Make sure everyone gets an equal opportunity to contribute.
